e-mailing paystubs & W-2s

We are 100% direct deposit and would like a pathway/feature that makes this a truly paperless PR system -- easy electronic distribution of pay advices and W-2's.  We are looking at 3rd party solutions, but would be a nice upgrade if ProContractor had an option in final "Print Payroll Checks and Advices" to email individual pay advices to the employee email address.

The newsletter will be available on Sept 26th.  In the meantime, you will need to make sure all active employees have their birth date and social security number filled in.  The View Employee Set up can be a quick way to verify this.  Also, Stephanie mentioned above each employee will need a personal email address, which is a new field added with the fall release.  Stephanie mentioned some info above on how they handled setting this up.

This just made my day!  We have 180 employees with 100% doing Direct Deposit.  We send the Pay stubs out every other week just to same time & money.  Can't wait until October 19th!

The September newsletter has information on how to prepare for the emailing feature, please take a look.

The password is really not complicated. Everyone should know their own date of birth and social security number. The password is there to protect the employees information. We were sending them out unprotected to those that wanted them, now everyone gets them and their information is protected. It's just a matter of communicating with your employees in the office and field. Honestly from a control point it's better to have it protected than not - if someone gets ahold of their email, as a company we could potentially be held liable if their pay information gets out by sending it out unprotected. Just my 2 cents. 😁 make it a great weekend.

I hope the complicated password is not mandatory for a person to receive their paystub. We send them un-encrypted now as an email attachment.

One suggestion. Start ensuring all your employees have a birthdate and personal email address added to their employee record. Their is a new field created for company email address (which unfortunately is currently the email address field that is currently there). So what we had to do was just copy the email address from that field to the new personal email address field. Also before emailing pay stubs out, send a notice out to your employees of the password combination required to open the pay stub (saves on tons of phone calls/emails from them). The password is their date of birth plus the last 4 of their social (example: DOB = 1/1/65; SSN = 123-12-1234; password = 010119651234 also I suggest creating a dummy email account like payroll@domain.com on your email server because you will need a valid email and password to use the feature (unless you are on the cloud version of PC).

We are apart of the beta and currently it allows you to email them out being protected and the system now adds the checks (if chosen too) to the employee binders. So far I love it - it saves my employee from having to manually add them to the binder AND manually email out each paycheck out.

Is the solution in beta enabling the emailing of the stubs or will the employees be logging into a cloud setup to store their information?

When a suggestion is set to planned, it will be delivered in the next ProContractor release.  In this case, this feature will be in our Fall release 3.10, scheduled for general availability Oct. 19th.  We are currently in BETA, so if you would like to receive this feature sooner, please let me know.

Received word this morning that an employees' pay rates were being discussed amongst their coworkers on the crew.  So happens that this employees pay advice recently went missing from the employees' inbox.  Realize two problems here, but both would be much more avoidable with an electronic distribution as an option for delivery.

Well, here we are again, this feature now has 113 votes and "planned".  Would be nice if it would move along a little faster.......

Be a great value add if this feature could be added.  Been requested multiple times to distribute advices via email instead of the paper copies.

Could we get an update on this suggestion? Has this moved into a planning phase yet? We are eager to implement this feature to make our office more efficient, at least for e-mailing pay stubs.
